Hays are currently looking to employ a PA to the Managing Director for the Midlands Region based in the Birmingham office. You will need to be extremely resilient and proactive at all times, have excellent communications skills, work on your own initiative and be extremely trustworthy and flexible.
Duties:
Providing daily support to the MD and adhoc support to 8 Midlands Directors
Ensuring MI reporting is produced accurately and on time by chasing and collating stats from Directors on a regular basis
Co-ordination of regional HR documentation and updating the HR database
Arranging meetings and screening calls for the MD
Liaising and communicating with people internally across the business
Daily authorisation of invoices and pending internal recruitment roles on internal systems on behalf of MD
Managing two receptionists and a senior administrator
Day to day facilities management of the Birmingham office and liaison with Property Department
Arranging board meetings/refreshments/catering/ taking and distributing action points
Organising internal employee events
Requesting travel and hotels for Directors via internal travel portal
Processing and checking Director’s expenses
Completing PowerPoint presentations for management and board meetings
Essential:
PA experience at MD level
Competent user of Excel, PowerPoint, Word and Outlook
People management
Desirable:
Previous administration and facilities experience
