Job Purpose
This post will encompass two roles: administrative support for both strategy and policy directors, and servicing aspects of the strategy and policy programme office.
Administrative support:
Providing support to Directors with diary and email management, printing of papers and briefings. Administrative duties for strategy and policy staff concerning budget monitoring, and organising meeting and travel arrangements.
Administrative support:
- Budget administration by logging and passing to finance all invoicing. Preparation and monitoring of purchase orders and spend against profile, etc.
- Director’s diary and email management
- Preparing papers for Directors
- Venue and food bookings for meetings
- Handling travel, accommodation and car hire requirements for approximately 20 staff.
- File and retrieve documentation electronically using SharePoint.
Programme Office, Strategy and Policy:
Support for the programme function within the Strategy and Policy Directorate:
Support senior managers in producing timely management reports by drafting them in advance and pre-populating with information such as new risks and issues, and forthcoming milestones. Provide drafts that can be checked, amended and returned efficiently and log compliance with this process.
- Maintain a record of how projects within Strategy and Policy are performing.
- Maintain a record of progress against milestones.
- Maintain risks and issues logs.
- Maintain a record of budget commitments
- Ensure that a record of progress towards KRA targets is up-to-date.
- Coordinate and ensure consistency in the reporting arrangements across the Directorate.
- Prepare monthly reporting documentation for the S&P programme board with an overview of this information
