Full Description:
The main purpose of the job is to assist and support the Facilities Manager in providing operational delivery of all hard services management as below:

1. Visiting all sites and other assets on a regular and frequent basis
2. Carry out inspections of all site assets, reporting faults and problems to the Team Leaders and others
3. Monitoring and Auditing contractor’s log books to ensure Planned Preventative Maintenance (PPM), Legislative Compliance work and routine maintenance activities are completed on time and to agreed standards
4. Quality check of completed works and reporting of non compliance
5. Ensure Health, Safety and Environmental issues are dealt with promptly and effectively
6. Liaising with landlord’s representatives, site Team Leaders, site staff, contractors and other suppliers and attending meetings with these as appropriate
7. To be familiar with the current site access conditions and responsibilities of the site Facilities Owner with regards to maintenance and site assets
8. To be familiar with the FM contract conditions and the extent of the FM contractors’ duties and responsibilities
9. Monitor the FM contractors performance with respect to the Key Point Indicators (KPI’s) and report on their performance to the Facilities Manager
10. To utilize the FM Help Desks to provide a periodic detailed report identifying the 4 weekly quantities, types, referrals, trends of work requests and Key Point Indicators (KPI’s) to allow the Facilities Manager to provide reports and recommendations to the Regional Management teams
11. Identify failings and make recommendations for improvements
12. To defer any work requests that are outside the site access maintenance responsibilities to the Facilities Manager or Landlord
13. To communicate with the appropriate parties / stakeholders to clarify work requests and obtain best value from contractors / suppliers
14. Monitoring of work completed on site
15. Promoting the best value and service
16. Ensuring first line support for all site queries regarding reactive maintenance is delivered by suppliers
17. Participate in the Out of Hours Call Out Roster

EXPERIENCE, KNOWLEDGE, QUALIFICATIONS & TRAINING

The candidate should ideally have a good knowledge of; buildings maintenance and repair, financial procedures and Contract Management
Be aware of the specific responsibility split between the Landlord and SITE Facilities Owner under the current site Access Conditions
Be able to demonstrate good interpersonal skills and communication, IT skill, ability for working under pressure, have good people management skills and be able to deal effectively with numerous complex issues
Have the ability to use database software to input information and query for reports
Be able to use initiative and effectively manage their time to ensure that they work effectively and productively
Demonstrate a flexible approach to all work activities with high levels of customer focus
Be confident to challenge where appropriate
Ideally educated to NVQ Level 3 or HNC in a related field
Ideally have a minimum of 3 years experience in a similar role
